RENTAL POLICY

DEPOSIT

All service requests of Events by Stace, LLC (EBS) require a 50% non-refundable deposit and signed agreement to hold your event date and rental items listed in the agreement.  Rental orders will not be reserved until the deposit and signed contract are submitted.   The non-refundable will be applied to the final balance of your order.  The final payment for your rental order is due 14 days prior to your reserved date.  If the balance of your rental order is unpaid prior to 14 days before your event, we reserve the right to cancel the reservation for lack of payment and your deposit is forfeited.

 

LENGTH OF USE

Excluding holidays, all rentals are for use within specified hours on the same day. Items are normally delivered and picked up on the same day. Customers will be notified appropriately.

 

DELIVERY & PICKUP

  • No credit will be given for unused items once delivered.

  • Please be sure the event venue is ready for entry and set up on the scheduled delivery date and time. If the venue is inaccessible or unprepared when EBS arrives, the client will incur an additional handling fee, based on the added time required to deliver the items.

  • If EBS cannot deliver the rental items, the items may be taken back to our headquarters. Thereafter, the client will have to make arrangements for delivery and pickup of items, which will result in an additional charge.

  • EBS expects that the client will inform us if a delivery involves labor intensive load in and out, i.e., elevator and narrow stairs. The client is responsible for advising of any delivery challenges to avoid additional fees.

  • Clients should not remove rented items from the delivery location without written permission from EBS.

  • All rented items should be made available to EBS on the pickup date, time, and location noted in the signed agreement to avoid additional rental charges for each day the equipment is unavailable.

  • Rental items should only be released to EBS staff who have the proper identification and documentation.

  • Rental items will not be delivered to an outdoor location and left in inclement weather.  If your event is outdoors, you must have an established backup plan to protect the rental items from damaging elements.  If the rental items are damaged due to improper care and weather protection, the card on file will be charged the replacement cost for EACH item damaged.

 

DELIVERY FEE

Our deliver fee begins at $50.  The delivery fee is calculated based on the number of items, bulkiness, and delivery location.  Check our social media page for specials, which may include no delivery fee when services are booked by a specified date.

 

SET UP

  • This fee includes the set up or installation of the rented items provided by EBS only. Fees are based on the total number of items, assembly time, and decor intensity. This fee does include breakdown and removal of items rented from EBS.

  • We do not install or decorate with items that were not provided by EBS.

  • If the client opts to set up the rented items themselves, at the conclusion of the event, rented items must be cleaned, if necessary, and placed back into the proper containers to avoid cleaning and replacement fees.Please do not leave water in vases and do not discard small rented items.All vases, containers, boxes, totes, parking materials must be returned to avoid replacement fees.

 

PRICING POLICIES

Price quotes are valid for 14 days.  Orders with special pricing must be booked by the date specified.  Florists and event planners receive a discounted rate on all rental items.

 

CANCELLATIONS & CHANGES

Please be aware that once the contract is signed, and your event date scheduled, all other clients have been refused your specified rentals and services for your event date, and thus all payments are non-refundable.  All services may be cancelled if received in writing no later than 14 days prior to the event.  You would not be obligated to pay the balance of your invoice, unless you placed a special order for an out-of stock item which was purchased specifically for your event.  In such cases, you would be contractually bound to pay the balance due on the account.  

  • A 50% non-refundable deposit is required to reserve rental items.

  • Reduction in order quantities must be made no later than 48 hours before the date of delivery to avoid additional charges.

  • Orders made less than 48 hours before the date of delivery will be treated as a new order.

  • No credit will be given for unused items once delivered.

  • All service changes must be made in writing as to avoid any confusion, e.g., email.

  • If changes are made the day of the event, a responsible party, 18 or older, must sign for the items upon delivery.

 

RUSH RENTAL ORDERS

  • To accommodate a rush rental order, we charge an additional 15% of the total rental balance.

  • Orders finalized within 14 days of your event date must be paid in full.

​DAMAGES

  • Please contact us immediately if an item is compromised, so we can assess the damages.

  • If an item is damaged (broken, stained, ripped, missing pieces, etc.), we will contact you with seven (7) days regarding the extent of the damage or missing items.

  • If the item is beyond repair and needs to be removed from inventory, we will assess the value at the current replacement cost.  The person(s) listed on the rental agreement are responsible for paying the damages and replacement costs of the rental item(s).

  • Rental items will not be delivered to an outdoor location and left in inclement weather.  If your event is outdoors, you must have an established backup plan to protect the rental items from damaging elements.  If the rental items are damaged due to improper care and weather protection, the contracting party will be charged the replacement cost for EACH item damaged.

RENTAL FAQs

What is the difference between a quote and a reservation?

A quote is just that, a good representation of what the charges would be if you placed that same order.  No item is reserved until it is converted to a reservation by placing a deposit, providing a credit card to be placed on file and signing the rental agreement.

What types of payment do you accept?

Events by Stace, LLC accepts Cash, Certified Checks, PayPal and All Major Credit Cards.

When should I place my order?

You are encouraged to give as much notice as possible in order to insure product availability.  We recommend at least one month prior to your event. However, we will always do our best to accommodate last minute orders as well.

After I place my order, can I make changes?

Yes, adjustments can be made up until 48 hours prior to delivery.  (Subject to product availability)

How do I make a payment after I approve my quote?

An agreement and invoice will be sent to you.  At that time it will have payment instructions.

Do you deliver?

Will I get my money back if I do not use an item?

Unfortunately, no.  Once our product leaves the office we are not able to rent the items to other customers.  Therefore once the items are in your possession, you must pay for them.

Should items be cleaned prior to pickup?

Yes.  All vases, globes and crystal lamps must be free from floral arrangements and any other particles.

What if I damage an item?

Renter assumes full responsibility of item upon possession, and agrees to pay full replacement cost for lost or damaged items.
